Spellex Write-Assist Privacy Policy
Effective date: 30 August 2026
This policy explains what information the Spellex Write-Assist add-ins use, where it goes and how long it is kept. It covers:
- Spellex Write-Assist for Google Docs, the add-on for Google Docs, and
- Spellex Write-Assist for Word on Mac and on the web (Word for Mac and Word on the web).
The add-ins are made by Spellex Technologies, LLC ("Spellex", "we", "us"), 3030 N Rocky Point Dr W Ste 150, Tampa, Florida 33607, USA.
The short version
- Spellex checks your writing in your web browser. Your documents are not sent to Spellex and we do not keep a copy of them.
- When you look up a definition, only that word is sent to a dictionary service.
- When you activate Spellex, and about once a day for an annual license, only your product key is sent to Spellex's key service to check it.
- Your settings (such as your own words and your Word Bank) are saved in your Google account or on your computer, not by Spellex.
- We do not sell, rent or share your information, we do not show ads, and we do not use your information to train artificial intelligence.
What Spellex reads in your document
To check spelling, find homophones, expand MedXpand codes, measure readability, read aloud and show the Reading View, Spellex reads the text of the document you use it in, and the text you select.
- Google Docs: Spellex asks Google for permission to "view and manage documents that this application has been installed in" (Google's
documents.currentonlypermission). This lets Spellex read and change only the document it is open in. Spellex cannot see your other documents, your Google Drive, your email or your contacts. Spellex changes your document only when you ask it to, for example when you click Change, Change All, Expand All Codes or Insert. - Word: Spellex reads and changes only the open document, through Microsoft's add-in interface, in the same way.
The text is used only to run the tool you chose, at the moment you use it. It is processed in your web browser, and in Google Docs also by Google's Apps Script service, which runs Spellex's document actions for your account. The text is not sent to Spellex's servers and is not stored by Spellex.
Spellex also asks Google for permission to "display and run third-party web content in prompts and sidebars inside Google applications" (script.container.ui), so it can show the Spellex sidebar and the Reading View window.
Information sent to other services
| When | What is sent | Where | Why |
|---|---|---|---|
| You look up a definition, or add a word to the Word Bank | The single word | freedictionaryapi.com (Free Dictionary API, with definitions from Wiktionary) | To show the word's meaning |
| You activate a product key, and about once a day for an annual license | The product key, and whether you are activating it | Spellex's key service, hosted by Cloudflare | To check that the key is valid, and when an annual license ends or was renewed |
| Spellex opens | Requests for Spellex's own files (program, word lists, fonts) | addin.spellex.com, hosted by Cloudflare | To run Spellex |
| Spellex opens in Word | Requests for Microsoft's add-in program | appsforoffice.microsoft.com | Word needs it to run add-ins |
Like any website, these services receive technical information with each request, such as your IP address and browser type. Each service handles it under its own privacy policy.
Read Aloud uses the voices of your computer or web browser. Some browsers offer online voices (for example, voices named "Google" in Chrome). If you choose one of these, your browser sends the text being read to the browser maker's speech service. Choose a voice that runs on your computer if you prefer that the text stays on your computer.
Information Spellex saves
Spellex saves your settings so they are there the next time you use it:
- your own words ("My Words"),
- your Word Bank (words with their meanings),
- your choices: language, specialist dictionary, Reading View, voice and speed, and options such as Check words in CAPITALS, and the last tool you used,
- your product key, whether its license is perpetual or annual and when an annual license ends, the start date of your free trial, and the last day a reminder was shown.
Where they are kept:
- Google Docs: in your Google account, in storage that Google keeps for the Spellex Write-Assist add-on (Apps Script "user properties"). Only you, through Spellex, can use them. They follow you to any computer where you use Spellex with the same Google account.
- Word: on your computer, in storage that Word keeps for the Spellex add-in.
Spellex does not keep your settings on its own servers.
How long information is kept, and how to delete it
- Document text: not kept by Spellex. It is used only while a tool runs.
- Words sent for definitions: used to answer the request.
- Product keys: Spellex keeps a record of each product key it issues, with the order details, how many times the key was activated and the last day it was checked, to support your license. The key service does not record who checked a key or from where.
- Your settings: kept until you delete them. You can remove single words from My Words and your Word Bank at any time. To delete everything Spellex saved, open Settings in Spellex and click Remove My Saved Settings: this removes My Words, your Word Bank, your choices and your product key, in your Google account (Google Docs) or on your computer (Word). Only the start date of your free trial is kept, so that the evaluation period cannot start again. In Word, removing the add-in also deletes Spellex's saved settings. You can also ask us for help at the contact below.
To stop Spellex from using your Google account at all, remove it at myaccount.google.com/permissions, or uninstall it from Google Docs (Extensions > Add-ons > Manage add-ons).
Google user data
Spellex's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, Spellex:
- uses Google user data only to provide the Spellex tools you use in the document,
- does not transfer it to anyone, except as needed to provide those tools, to comply with the law, or as part of a merger or sale of Spellex with notice to you,
- does not use it for advertising, and does not sell it,
- does not let any person read it, unless you ask us for help and agree, it is needed for security or to comply with the law.
Schools and workplaces
A school or company may install Spellex for its users from its Google Workspace or Microsoft 365 admin center. Spellex does not receive information about the organization's users from the admin center. What this policy says about documents and settings applies to every user.
Spellex is made for students in higher education and adults. It does not ask for, or knowingly collect, personal information from anyone, including children under 13.
Security
Spellex's files are served only over encrypted connections (HTTPS). The add-ins ask for the narrowest permissions that let them work.
Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change affects how we use your information, we will say so in Spellex or on spellex.com before it takes effect.
